How do I use the Excel template to check an RSTB difference?

Download your agentOS statement entries and your real-life bank statement, paste both into the RSTB Excel template, and the spreadsheet will compare the two day by day to identify where a discrepancy occurs.

The best way to find a reconcile-system-to-bank (RSTB) difference is to compare what has been uploaded to agentOS against what appears on your actual bank statement. The Excel template automates this comparison.

Step 1: Export your agentOS statement entries

  1. In agentOS, go to Accounts > Bank Accounts and click on the relevant bank account. Repeat this process for each account you are checking.
  2. Within the bank account, go to Reconcile Statements.
  3. Change the Entry State filter to show all transactions (not just un-posted).
  4. Set the From and To dates to cover the period you are investigating.
  5. Click Export to Excel to download the statement entries.

Step 2: Paste agentOS data into the template

Open the RSTB Excel template. Paste the exported agentOS data into the AgentOSUploads tab starting at cell A1.

Step 3: Paste your bank statement data

Obtain your real-life bank statement for the same period and paste it into the Bank Statements tab of the template.

Bank statements can come in many formats. The template requires:

  • Date in column A
  • Amount in column D

You may need to adjust your bank statement data accordingly before pasting. If your bank statement has separate debit and credit columns where debits are shown as a minus figure, add the two together in column D. If debits are shown as a positive figure, use a formula to subtract the debit from the credit to get the correct figure in column D.

Step 4: Review the comparison

The template compares the two datasets day by day and calculates the difference between your bank balance and your agentOS balance for each date. If there is a difference on a particular day, there is a strong likelihood that the RSTB discrepancy originates on that date.

The spreadsheet also counts how many entries appear on the bank account and how many appear in agentOS (excluding deleted entries). Deleted entries are not taken into account in the Reconcile System to Bank report — the template accounts for this automatically.

You can enter the actual RSTB balance in column N for a specific date to see what the balances should be and how much they differ.

Step 5: Investigate further if needed

If the template does not locate a missing entry, the discrepancy may be caused by a reversal or contra entry. To check:

  1. Go to Accounts > View Accounts and click Current Balances.
  2. In the search field within View Accounts, type reversal and set your From and To dates for the relevant period.
  3. The system will return any entries containing "Reversal" in their description. Reversals or contra entries can affect system balances and may be the cause of the RSTB difference.
  4. Check any NRL and NRL Allowance accounts for reversal entries as well.

Step 6: Correct the RSTB balance if needed

If you need to correct the RSTB balance for a specific date, you can add a manual bank statement entry. Go to your bank account in agentOS, click Manual Entry, enter the relevant date, add a clear description, and enter the amount.

⚠️ Remember: The RSTB balance includes all entries uploaded to agentOS. Adding a manual entry for £500 on 1 May will increase the RSTB balance by £500 on that date.
