Why has rent not been called for a tenancy?
Rent can fail to become due for several reasons. Check whether the tenancy has been signed, whether it is on a Let Only service, and whether the Next Collection Date is set correctly.
If rent has not been called for a tenancy, you should work through the following checks in order.
1. Has the tenancy been signed? If the tenancy is still at Let Agreed status, agentOS does not know that the tenants are in the property and will not call for rent. Signing the tenancy allows the system to call for rent up to 21 days after the start date. Navigate to the tenancy record and check its current status.
2. Is the tenancy on a Let Only service? Let Only tenancies are usually set up not to manage rent. You can check the service type by going to the tenancy record > Tenancy Details > Tenancy Specific Information > Service Type. If the tenancy is on a Let Only service and you need to pay the first month's rent to the landlord, go to Tenant > Actions > Make Rent Due, then once complete, go to Actions > Manual Rent Transfer.
3. Has the Next Collection Date been removed or left blank? agentOS will cease calling for rent if the Next Collection Date is empty. Navigate to the Rent Schedule and select Change Next Collection Date. If the field is blank, add a future date in line with the rent schedule. The system will then call for rent going forward.
Auditing changes to the rent schedule If you need to investigate who changed the collection date or when the rent schedule was adjusted, go to Office > Audit Reports > Tenancy Audit. Set the "Report on" filter to "Rent Due Date Change" or "Update Rent Schedule" and generate the report.
