What do I do if a tenancy was signed without a head tenant?
If a tenancy was signed without a head tenant, you will need to reverse the incorrectly allocated bond and rent, then reassign them to the correct head tenant using journal transfers and the Make Head Tenant action.
If a tenancy was accidentally signed without a head tenant — resulting in the bond or rent being split across multiple tenants incorrectly — follow the steps below to correct this.
Step 1: Remove outstanding balances from the incorrect tenants
For each tenant who should not have had the bond allocated to them, make the bond undue using a journal transfer:
- Negative the bond amount out of the outstanding bond account (specific to the bond scheme in use)
- Positive the bond amount into the tenant's main account
If an advance payment has also been made due incorrectly:
- Negative the advance amount out of the outstanding general account
- Positive the advance amount into the tenant's main account
To make rent undue on the affected tenant's account, go to Actions > Make Rent Undue.
Step 2: Increase what is due on the head tenant's account
On the head tenant's account, perform the following journal transfer:
- Negative the remaining bond amount from the tenant's main account
- Positive the remaining bond into the correct bond held account (specific to the bond scheme in use)
For any remaining rent to be made due and transferred to the landlord, go to Accounts > Make Rent Due, then Actions > Manual Rent Transfer.
For any additional advance rent to be sent to the landlord, go to Actions > Transfer To Another Person.
Step 3: Update the rent schedule
Go to the Rent Schedule > Actions against each line > Setup Rent Breakdown. Edit and update the amounts so that the head tenant holds the full rent amount and all other tenants show zero.
Step 4: Assign the head tenant status
Go to the Tenants section within the tenancy, then select Actions against the person you wish to make head tenant > Make Head Tenant.
