What are the file requirements for logos, headers, and footers in agentOS?

agentOS requires files with exact dimensions and exact filenames — any deviation will cause customisations to fail. All files are uploaded via Settings > Custom Resources, with branch-specific files configured through Settings > Branches.

Critical file requirements

The system requires files with exact dimensions and exact filenames. Any deviation will cause customisations to fail.

Files can be in either GIF or JPEG format. While resolution and bit depth are less critical, dimensions and filenames are non-negotiable.


Required files

ManagementReport_Logo.gif

  • Dimensions: 581 × 322 pixels
  • Format: GIF or JPEG

DocsHeader.jpg

  • Dimensions: 1189 × 202 pixels
  • Format: GIF or JPEG

Company_Header.jpg

  • Dimensions: 3000 × 560 pixels
  • Format: GIF or JPEG

Company_Footer.jpg

  • Dimensions: 1811 × 266 pixels
  • Format: GIF or JPEG

DocsFooter.jpg

  • Dimensions: 1189 × 168 pixels
  • Format: GIF or JPEG

Branch-specific headers and footers

The system supports branch-specific headers and footers. To find the exact filenames required for a specific branch:

  1. Go to Settings > Branches
  2. Click on the branch you want to customise
  3. Select Edit
  4. Go to the Admin tab
  5. Under the Documentation section, the exact filenames required for that branch will be listed
  6. Create files with those exact branch-specific filenames at the same dimensions as the standard headers and footers
  7. Upload the files via Custom Resources (see upload instructions below)

Note: Branch-specific headers and footers will only appear on certain document types. Filenames will differ per branch and must be used exactly as shown in the branch settings.


Upload instructions

  1. Prepare all files with the exact specifications listed above
  2. Ensure filenames are exactly as follows (including capitalisation, underscores, and file extension):
    • ManagementReport_Logo.gif
    • DocsHeader.jpg
    • Company_Header.jpg
    • Company_Footer.jpg
    • DocsFooter.jpg
    • Branch-specific filenames (as found in branch settings)
  3. Go to Settings in the system
  4. Select Custom Resources
  5. Upload each file to its designated section
  6. Save changes and test

Handling client-provided images with different dimensions

When a client provides images that do not match the required dimensions, use one of the following methods to avoid distortion.

Method 1: Canvas sizing with padding

  1. Open the client's image in an image editor (such as Photoshop or GIMP)
  2. Create a new canvas at the required dimensions (e.g. 1189 × 202 px for DocsHeader.jpg)
  3. Place the client's image on the canvas, centred
  4. Fill the remaining space with white or a complementary background colour
  5. Save with the exact required filename and format

Method 2: Proportional scaling with background

  1. Calculate the scale factor to fit the image within the required dimensions whilst maintaining aspect ratio
  2. Resize the image proportionally to the largest size that fits within the required dimensions
  3. Create a new canvas at the exact required dimensions
  4. Centre the resized image on the canvas
  5. Fill any empty areas with a suitable background colour
  6. Save with the exact required filename and format

Method 3: Sectional approach for logos

  1. Identify the most important visual elements of the logo
  2. Crop to include only those essential elements
  3. Scale the cropped section to fit within the required dimensions
  4. Add padding as needed to reach the exact required dimensions
  5. Save with the exact required filename and format

Method 4: Redesign for critical assets For key clients where image quality is crucial:

  1. Use the client's brand guidelines to create new assets at the exact required dimensions
  2. Incorporate their logo, colours, and styling whilst ensuring files meet specifications
  3. Obtain client approval before uploading to the system

Troubleshooting

  • Files not recognised — check the filename carefully, including capitalisation, underscores, and file extension
  • Display issues — verify that dimensions and format exactly match the specifications above
  • System errors — ensure all five standard files have been uploaded with the correct specifications
