How do I use the TDS XML upload file in agentOS?

agentOS generates a TDS XML upload file for submission to the Tenancy Deposit Scheme. The file is generated on demand, supports downloading new tenancies only or all tenancies, and stamps each tenancy with an upload date once included in a file.

agentOS produces a TDS XML upload file for submission to the Tenancy Deposit Scheme (TDS), covering both Insured and Custodial deposit types. The file is generated from your tenancy data and can be downloaded and uploaded directly to the TDS portal.

How the file works

The file is generated at the point of downloading — changes made to tenancy data are reflected immediately and you do not need to wait overnight for updates to appear.

Once a tenancy is included in a TDS file and subsequently uploaded to TDS, the tenancy is stamped with an Uploaded to TDS date and removed from any future files.

Downloading the file: All Tenancies vs New Tenancies Only

When downloading the TDS file, you have the option of downloading one of two versions:

  • All TDS tenancies — includes all tenancies, incorporating the improvements outlined below.
  • New tenancies only — includes only tenancies that have not yet been included in a TDS file (i.e. those without a date in the Last Uploaded to TDS field).

Both options will include accurate, up-to-date information about your tenancies. The choice is entirely yours depending on your workflow.

First-time use

For first-time use, it is recommended that you conduct a test before commencing with your upload. To do this, download the file with Mark as Uploaded unticked. This will download all tenancies that have yet to be uploaded (those without a date in the Last Uploaded to TDS field) without stamping them.

Once you are happy with the file, download it again with Mark as Uploaded ticked. Any tenancies included in this file will be stamped with today's date and removed from any future files.

Bond amounts and the TDS file

The amount of bond to be registered is taken from the Bond Required field on the tenancy instruction.

If an incorrect bond amount has previously been called and paid by the tenant (i.e. the money has been transferred into the tenant's Tenant Bond Held account), corrections can be made without affecting the TDS file. To correct this:

  1. First ensure the amount in the Bond Required field on the tenancy is correct.
  2. Journal transfer money into or out of the Tenant Bond Held account to bring it to the correct amount.

The TDS file will not treat a journal transfer out of the Tenant Bond Held account as a deposit deduction, provided the balance does not fall below the amount in the Bond Required field. The bond amount registered will be whatever is set on the tenancy.
