How do I use View Accounts in agentOS?

View Accounts is accessible from the left-hand side of any person's profile and shows a full transaction history with credits, debits, and a running balance. You can expand individual entries to trace the origin of transactions and use the Current Balances tab for an overview of all account balances.

View Accounts is found on the left-hand side of a person's profile in agentOS. It provides a detailed transaction history for that person's account.

Reading the transaction list

The main grid shows columns for credits in and debits out. The Description column displays either the reference number or details of standing order transactions linked to the account, or manually written descriptions for any transfers, charges, or maintenance deductions.

Expanding entries to trace transactions

To see which staff member processed a transaction, click the arrow to the left of the entry. This expands further detail and shows:

  • Whether the transaction has been invoiced
  • Whether it is authorised (reconciled)
  • Which branch it was assigned to (useful for multi-branch agencies)

This is helpful when tracing back certain movements in an account.

Tracing where funds were sent

To see who a transfer was linked to, click on the debit entry. This opens the finance entry and shows each step the funds have taken along their journey — allowing you to confirm that funds were transferred to the correct recipient and by whom.

Running balance column

The Running Balance column shows the end balance of the account after each transaction. If an account shows an unexpected balance, this column helps you identify the exact point at which the account went into a deficit or produced an undesired balance.

Current Balances tab

The Current Balances tab provides a summary overview of all of a person's accounts. This gives you a clear view of any outstanding money or where credit is currently held, which is particularly useful before making a transfer between accounts to ensure funds are positioned correctly.
