How do I use the diary in agentOS?
The agentOS diary is accessible from the Diary tab at the top of the screen. It displays appointments for all staff members and allows you to add and manage bookings for your business.
agentOS includes a built-in diary that can be used to book and manage a wide variety of appointments and bookings for your business.
Accessing the diary
Click Diary in the top navigation bar to open the diary view.
Filtering by staff member
On the left-hand side of the diary, each user is listed by branch. You can collapse or expand branches to adjust your view. If no staff member is selected, the diary will display appointments for everyone.
The diary will remember your last selection, so when you return to the diary the view may appear restricted. Simply expand the relevant drop-down menus to restore your preferred view.
Each user is assigned a colour at random, with eight colours used on rotation, making it easy to distinguish between staff members at a glance.
Changing the diary view
Use the view options in the top right (Day, Work Week, Week, Month, Agenda) to switch between different calendar layouts.
Adding a diary entry
To add a new entry directly in the diary:
- Double-click the time slot you wish to book.
- The Add Appointment form will open. Fill in the following fields:
- Start — start time of the booking
- End — end time of the booking
- Assigned to — the staff member the appointment will be linked to
- Appointment Type — what the booking is for (e.g., Viewing, Valuation, Interim Inspection)
- All Access Arranged — tick this if access has been arranged
- Cancelled — tick this if the booking is subsequently cancelled
- Reminder — how long before the start time you want to be reminded
- Subject — a brief subject for the appointment
- Extra Comments — any additional notes
- Click Save & Close to save the appointment.
Adding guests and properties
Once saved, you can add guests (such as applicants, landlords, or contractors) and link lettings or sales properties to the appointment by clicking the relevant options in the left-hand panel of the appointment record.
To link a property, start typing the address into the property search bar and select from the matching results. Click Add to save.
Arranging access from a diary appointment
Once a property has been added to an appointment, you can arrange access for occupants directly from within the appointment record. Click the Actions button to the right of the property address and select Arrange Access. Choose the communication method and recipients, then click Arrange Access to send.
