How do I use the Claude project to maintain and update the agentOS knowledge base?

The Claude project is a purpose-built drafting tool for creating, updating, and auditing HubSpot knowledge base articles. It knows the correct format, style, and content requirements, so staff can produce publish-ready articles in minutes with no technical knowledge required.

The Claude project has been set up with full context about the agentOS knowledge base — including article structure, formatting conventions, HubSpot metadata requirements, and writing style. It is designed so that any member of staff can use it to keep the knowledge base accurate and up to date, without needing any technical background.


How to access it

The project is available within Claude. You will need to open the dedicated agentOS knowledge base project (not a general Claude conversation) to ensure the correct context and formatting rules are applied automatically. What you can use it for

1. Creating a new article

If the chatbot cannot answer a question, or a client or colleague raises something that is not currently covered, you can create a new article quickly.

  • Open the Claude project
  • Type something like: "I need a new knowledge base article about [topic]. Here's what it needs to cover: [brief description or notes]"
  • Claude will draft the article in the correct Q&A format
  • Review it, make any adjustments, and publish it to HubSpot

Estimated time: approximately 10 minutes including review.


2. Updating an article when something changes

If a feature or process in agentOS has changed and you know which article covers it:

  • Open the Claude project
  • Paste in the existing article and explain what has changed
  • Type something like: "This article needs updating — [explain what has changed]"
  • Claude will rewrite the affected sections
  • Review and adjust if needed, then update the article in HubSpot

Estimated time: approximately 10 minutes including review.


3. Running a maintenance check after a system update

This is the most important use case. When a significant update is released to agentOS — such as new features, changed processes, or retired functionality — a maintenance check helps identify which articles are affected before clients encounter outdated information.

  • Open the Claude project
  • Describe what has changed in the system, using as much detail as you have (release notes, a description from the development team, or a plain-language summary of what is different)
  • Type something like: "agentOS has just been updated — [describe the changes]. Which knowledge base articles are likely to be affected and what needs reviewing?"
  • Claude will identify the relevant articles and explain what needs checking or rewriting
  • Work through the flagged articles using the update method described above

Estimated time: varies depending on the size of the update, but the identification step typically takes minutes rather than hours.


Important reminders

  • Always review Claude's output before publishing. It is a drafting tool, not a final publisher — human review is essential before anything goes live.
  • If you are unsure whether updated content is accurate, check with the support team before publishing rather than relying solely on Claude's output.
  • If you create or update a significant number of articles at once, it is worth letting the support team know, so they are aware the chatbot's responses may have improved in that area.
  • Claude works best with context. Do not worry about writing perfectly — just explain what you need clearly and include as much relevant detail as possible.
