How do I transfer property and tenancy data between agentOS accounts?
Data transfers between agentOS accounts require our onboarding team's involvement, as only master-level users can extract the necessary information. We offer custom report packages or standard reports to facilitate the process.
We offer two methods for transferring property, landlord, tenancy, and tenant information between agentOS accounts:
Method 1: Custom Report Package (Recommended)
The recommended method uses custom report packages that include all necessary reports perfectly formatted for importing. These cover:
- Every property (including vacant ones)
- Properties with active tenancies
- Landlord details
- Tenancy details
- Tenant details
- Contractor details
- Certificate details
You can download the custom report package from this article. Whilst you can install it yourself to help gather the data, it's important to note that only master-level users (agentOS staff) can extract all the required information from the system. The onboarding team will need to be involved regardless.
To install the custom report package yourself:
- Click the person-shaped icon to access settings
- Navigate to OS Customisations (if you cannot see this option, contact support@agentos.com to activate Power Reporting for you)
- Click Install Package and upload the file
- Once installed, all the reports will appear in your Lettings Reports
Method 2: Standard Reports
Alternatively, you can provide standard reports:
- All Active Tenancies Report (found at Lettings > Tenancy Reports > All Active Tenancies Detailed)
- Rent Schedule Report (found at Lettings > Lettings Reports > Scheduled Rent Collection)
What Information You'll Need to Provide
When emailing your reports to onboarding@agentos.com for a quote and import, you need to include:
Essential Information:
- The name of the account the data is coming from
- Confirmation that you have permission to share and use this data
- The name of the account you want the data transferred to
- Confirmation from the receiving account holder that they approve the import
Additional Requirements:
- Whether you need any branding or templates transferred across
- Whether you require media files and documents to be transferred (this is handled as a separate professional service)
Important Notes
- The actual import into your agentOS account is always handled by our onboarding team as a professional service
- Management fees that apply to the property (rather than the landlord) cannot currently be reported, so you'll need to manually highlight these to the onboarding team to ensure they are applied correctly
- Media files and documents cannot be automatically imported and will need to be transferred manually. If you would like our team to handle this manual transfer, please contact onboarding@agentos.com for a quote based on the volume and complexity of your files
- Accounts cannot simply be "copied" across. Data needs to be exported via reports and then imported into the destination account
If You're Simply Rebranding
If your company is going through a rebrand and you don't need a new account, you can update your company details within your existing account to reflect the new branding. Please be aware that your shortname (which appears in your login URLs and system-generated emails) will remain the same.
