How do I set up and manage management fees in agentOS?

Management fees can be configured at tenancy level or landlord profile level. A fee set on a tenancy will override the landlord-level fee. You can set multiple dated fee lines to handle future changes automatically.

Management fees in agentOS allow the system to automatically deduct a pre-set percentage from each rental payment received from the tenant's Rent Account, transferring it into the landlord's Rent Collected account.

There are two places where a management fee can be set: against a tenancy, or against a landlord profile.

1. Setting a management fee on a tenancy

Open the tenancy record and select Management Fees from the left-hand menu. Click Set Management Fee in the top right corner. A pop-up will appear with two fields:

  • Apply From — the date from which the fee should take effect
  • Fee % — the percentage to charge. If you are VAT-registered, enter the percentage before VAT. If you are not VAT-registered, enter the percentage you charge.

Click to save. The fee will then appear in the Management Fees list.

When a fee is set at tenancy level, the Fee Owner column will display Property Override, indicating it is overriding the fee set at landlord level.

To revert the tenancy back to using the landlord-level fee, click the Reset Fee button in the top right of the Management Fees screen. The display will change from a specific percentage to Use Landlord Fee, confirming the tenancy is now deferring to the landlord profile setting.

2. Setting a management fee on a landlord profile

Open the landlord's profile and select Management Fees from the left-hand menu on the left-hand ladder under Accounts. Click Set Management Fee in the top right corner. Enter the Apply From date and the Fee %. The fee will display with a Fee Owner of Landlord Fee and will automatically apply to all of that landlord's properties unless a tenancy-level override is in place.

Setting multiple fee lines

You can add multiple fee lines if you are expecting fee changes on future dates. Enter the new percentage and the date from which it should apply, and agentOS will automatically deduct the correct percentage at the correct time without any further intervention.
