How do I set up a fixed management fee on a tenancy?
Fixed management fees can be added to a tenancy via the Auto Charges section. Use the Add Date Specific Charge option to ensure the fee is applied on the same date each month.
There are two ways to set a fixed management fee on a tenancy, depending on whether the tenancy is at Let Agreed or Signed status. Both methods are accessed from the same place.
Accessing Auto Charges
Open the tenancy record and navigate to Auto Charges in the left-hand menu.
Option 1: Add Use the standard Add button to create a recurring charge. This is suitable for most situations.
Option 2: Add Date Specific Charge Use this option if you need the charge to be applied on the same date every month — for example, on the same day rent is due. Fill in the following fields:
- Type: Fixed Amount
- Apply When: Set the date you want the charge to apply
- Sales Account: Management Fees
- Recurrence Type: Monthly
- Recurrence: 1
- Amount £/%: Enter the fixed fee amount
- Non VAT Charge: Set as appropriate
- Person Type: Landlord
- Description: Management Fees (or your preferred description)
Once all fields are complete, click Add Charge / Add Date Specific Charge to save.
Confirming the charge is set up correctly
When set up correctly, the charge will appear in the Auto Charges section highlighted in green, showing details such as the description, amount, frequency, and the Apply When date.
