How do I send appointment confirmations to guests in agentOS?

agentOS can automatically send an email or SMS confirmation to guests when they are added to a diary appointment. You can also confirm appointments manually at any time via the Actions menu within the appointment's Guests section.

Automatic appointment confirmation

When adding a guest to a diary appointment, you have the option to automatically send a confirmation by email, SMS, or both. Within the Add Guest section of the appointment, you will see two toggles:

  • Auto Confirm Appointment by Email — set to Yes to send an email confirmation automatically
  • Auto Confirm Appointment by SMS — set to Yes to send an SMS confirmation automatically

The default state of these toggles is set by your company's Admin user and can be adjusted per appointment as needed.

If a sales property or lettings property has been added to the appointment before the guest is confirmed, the confirmation message will include the property address and appointment type as part of the standard wording. The date and time will be highlighted in the message, making it easy for the recipient to add it to their calendar directly from the notification.

Manual confirmation

If you need to confirm an appointment manually — for example, after a time or date change — you can do so at any time:

  1. Open the diary appointment.
  2. In the Guests section, click the Actions button next to the relevant guest.
  3. Select Confirm Appointment.

This will send a confirmation to the guest using the contact details held on their record.
