How do I send a mass email or mail merge to my contacts in agentOS?
agentOS does not have a built-in mass mailing tool. Instead, export contact details from the relevant people reports under the Lettings tab, then use the email addresses in Outlook's Mail Merge tool or paste them into the BCC field of your email client.
There may be occasions when you need to send a mass communication to a group of contacts — for example, to share news, seasonal updates, or important information. agentOS does not include a dedicated mass mailing tool, so the recommended approach is to export your contact data and use an external method to send the communication.
Step 1: Export the relevant contact list
Navigate to the Lettings tab and scroll to the bottom half of the page, where you will find the people reports. The following reports can be used to obtain contact details:
- All People List
- All Tenants List
- Active Landlords List
Open the relevant report and click Export to Excel to download the data.
Step 2: Extract the email addresses
Once exported, locate the email address column in the spreadsheet. You can then either:
- Copy and paste all email addresses into the BCC field of a new email in your email client, or
- Use Outlook's Mail Merge tool to personalise and send the communication at scale
Note: When sending to multiple recipients, always use the BCC field rather than the To or CC fields to protect the privacy of your contacts.
