How do I send a custom email template to a contact in agentOS?
agentOS allows you to send pre-written email templates (canned responses) directly to any contact from their profile using the Send Email Template action. Templates are created and managed under Office > Email Templates.
agentOS includes an email templating feature that allows you to save pre-written email content — sometimes referred to as canned responses — and send them quickly to any person on the system.
Sending a template to a contact
To send an email template to a contact:
- Use the quick search bar to find the relevant person by name (e.g., a tenant, landlord, or contractor).
- Open their record from the search results.
- Click the Actions button in the top right of their profile.
- Select Send Email Template from the dropdown menu.
- A pop-up window will appear showing the available templates for that person type or tenancy.
- Select the appropriate template — the standard email editor will open, pre-filled with the relevant email address(es) and content.
- Review and send as required.
Creating and managing email templates
Templates are created and managed via Office > Email Templates. A set of default templates is provided, which you can edit or delete as needed.
When adding a template, you can configure the following options:
- Linked Branch
- Template Name
- Default From Address
- Branch default
- Company default
- Staff default
- Person Type (e.g., all people on the system, tenants on a tenancy, landlord, contractor, applicant/buyer)
- Template Type
For templates used with the Send Email Template action, the Template Type should always be set to General.
Once a template has been created, default attachments can also be added to it.
Note: The available templates shown in the pop-up will vary depending on the person type and tenancy associated with the contact you're viewing.
