How do I refer an AML check to a client?

When an AML check cannot be resolved on your end, it needs to be referred to the client. This involves exporting the check as a PDF from Credas, identifying the correct client on agentOS, and sending the check for their review.

Step 1 — Export the Check as a PDF

In Credas, open the relevant check and click the Export PDF button in the top right of the check screen. This will open the PDF in a new tab. Download the PDF and name it based on the check name (not the name on any identity document), followed by "AML Check". For example: Jake Dryburgh AML Check.pdf

Step 2 — Compose and Send the Email

Once the PDF is saved, compose an email to the client using the AML Check email template, attaching the PDF.

Step 3 — Identify the Correct Client

To find out which client raised the check, return to Credas and go back into the Individuals tab. In the list, locate the Ref column for the check in question. The reference will look something like this:

106b-lan-25-0

The first four characters (e.g. 106b) refer to the client's Credas API user ID. Contact support@agentos.com if you need help matching this ID to the correct client.

To find the check within agentOS, open the relevant client record and navigate to the Office tab, then select AML and ID Check. The check will be listed there and will also indicate which staff member raised it. If you are struggling to locate it, search using the second segment of the Ref (in this example, lan-25) to find the individual associated with the check.

Step 4 — Choose Who to Email

When sending the referral email, contact either the individual who raised the check or the best contact for that client on agentOS.

Step 5 — Update the Check Once the Client Responds

Once the client responds, use the edit button (yellow box) against each referred panel to update the individual checks as either Pass or Rejected, using the client's support ticket number as your comment. Finally, update the overall check status at the top of the screen in line with the client's instructions.
