How do I process council payments for tenants in agentOS?
For single tenant properties, use "Link as Once Only Person Electronic Posting"; for properties with multiple tenants (HMOs), contact support for guidance on correct allocation.
Council payments (housing benefit or local housing allowance) require different handling than regular tenant rent payments, and the approach varies depending on the property type.
For single tenant properties When processing a council payment for a property with a single tenant:
- Go to Actions
- Select "Link as Once Only Person Electronic Posting"
- Search for and select the property and tenant
- Complete the posting
Note that council payments use "once only" rather than "repeat person" linking because council payment amounts and timing can vary, and they're often made less regularly than monthly rent payments.
For properties with multiple tenants (HMOs) If the property has multiple tenants—commonly known as a House in Multiple Occupation (HMO)—contact support@agentos.com for guidance on how to allocate the council payment correctly.
Council payments for HMOs are more complex because:
- The payment may need to be split between multiple tenants
- Different tenants may have different benefit amounts
- Allocation rules may vary depending on tenancy agreements
Don't worry if you're unsure As a new agentOS user, you may not yet be familiar with which properties in your portfolio have multiple tenants versus single tenants. This is completely normal. Support will help you process these payments correctly until you're comfortable with the system and familiar with your property portfolio.
Building your knowledge Over time, you'll become familiar with:
- Which properties are HMOs
- Which tenants receive council payments
- Expected payment amounts and frequencies
This knowledge develops naturally as you process payments regularly, but don't hesitate to ask support whenever you're uncertain.
