How do I import sales properties, vendors and applicants?

To migrate your data from a CRM system to agentOS, the onboarding team will assist. We recommend the following steps:

 

Vendors Past and Present

1. Provide Excel sheet of all your vendors, contact details, etc. to onboarding team (agent)

2. Using agentOS bulk upload feature, vendors are imported (onboarding team)

 

Active Buyers (Made Offers)

1. Provide Excel sheet of all your buyers, contact details, offer amount, etc. to onboarding team (agent)

2. Using agentOS bulk upload feature, buyers are imported (onboarding team)

 

Import Live Property Listings

If your listings are on Rightmove, we can import them, including photos:

1. Using agentOS quick add sales instruction, cut and paste in Rightmove URL (onboarding team)

2. Tidy up property description and introduce line breaks (onboarding team)

3. On Vendor tab, link property to uploaded vendor (onboarding team)

4. Import property with photos (onboarding team)

5. Advertise the property listing (onboarding team)

 

Property Listings Not Live or Historic

1. Provide Excel of properties that are not being listed (agent)

2. Using agentOS bulk upload feature, sales instructions are imported (onboarding team)

3. Open each sale instruction and link vendor (onboarding team)

4. Add photos to any instruction likely to be listed (agent)

5. Update sales instruction status if under offer or SSTC (agent)

6. Add offers and link buyer (agent/onboarding team)

 

Important Note for Onboarding: Do not auto link vendor with sales instruction bulk upload, as this can block the upload.

 

Potential Buyers

1. Ensure all active listings are marketed as advertised before next step

2. Provide Excel sheet of all your buyers, contact details, search criteria, etc. to onboarding team (agent)

3. Using agentOS bulk upload feature, buyers are imported (onboarding team)

 

Brochure Build

1. Send over brochure design and variations (agent)

2. Build templates and test (onboarding team)

3. Brochure live

 

Portal Media

Provide URLs for any portal media to be added, for example (agent):

• 360 degree tours

• Videos

• Website links

• Floorplan (if not uploaded as photo)

• Online bookings

• Brochure links

• Websites

Add portal media to property listings (onboarding)

 

Templates

1. Agents to provide examples of standard letter and email templates, for example (agent):

   • Market appraisal letter

   • Offer letter

   • Memorandum of sale, etc.

2. Add custom docx letter and update email templates (onboarding)

 

Auto Charge

1. Confirm different service agents offer with different charges (percentages versus fixed) standard fees (agent)

2. Set sales service types and auto charge by stage (onboarding)

 

Historic Notes

Any notes/data on any of the Excel sheets that are uploaded with bulk uploader, if the data is not mapped to a field will be migrated as a note. All your historic notes can be imported on your buyer, vendor and property records.
