How do I customise Arrange Access email and SMS templates in agentOS?

Arrange Access templates are managed under Office > Email Templates and Office > SMS Templates. Filter by Template Type: Arrange Access to find and edit the relevant templates.

agentOS allows you to customise the email and SMS messages sent when arranging access for a property — for example, when notifying tenants or occupiers of an upcoming interim inspection.

Accessing Arrange Access templates

  1. Go to the Office tab in the top navigation bar.
  2. Select Email Templates (or SMS Templates for text message templates).
  3. Use the Template Type filter and select Arrange Access to display only the relevant templates.

You will see the system default email or SMS template. Click into it to edit the wording and save your changes.

To add additional templates, click Add in the top right-hand corner.

Setting up templates for inspections

For templates used when arranging access for inspections, the Person Type and Template Type fields must be set as follows:

  • Person Type: Access to Property
  • Template Type: Arrange Access

This ensures the template appears correctly when the Arrange Access action is triggered from a diary appointment linked to a property.
