How do I create a sales or lettings invoice in agentOS?
Learn how to create an invoice in agentOS, choose the transactions to include, and decide where to save or send it.
Invoices in agentOS are created directly from a person's profile. To locate the person, either click on their name from within a relevant record or search for them by name using the search bar at the top of the screen.
Creating an Invoice
Once you have the person's profile open and there are charges, refunds, or financial movements applied to their account, you can create an invoice as follows:
- Click Actions in the top right-hand corner of the profile
- Select Create Invoice
- In the upper right of the Create Invoice screen, select whether to send the invoice to the postbag or to keep it saved in the invoices section (choosing not to send will hold it safely there without dispatching it)
- Tick the boxes next to each entry you wish to include on the invoice — or tick the box in the column header to select all entries at once
- Click Create Invoice at the bottom of the page
Important: Re-invoicing Transactions
Each transaction entry can only be invoiced once. Once an item has been invoiced, it must remain against the invoice it was created within. If you need to re-invoice an item, you will need to reverse the original transaction and re-apply it from scratch before creating a new invoice.
Example — incorrect description on a rent invoice: Apply a manual rent refund, make the rent due again on the tenant with the correct description, make a manual rent transfer to send it to the landlord, then create a new invoice.
Example — incorrect charge amounts invoiced over multiple months: Refund the invoiced charges first, then re-add them as fresh charges for the correct amounts, then invoice again.
Viewing Invoiced Sales
To see a breakdown of all invoiced sales, go to Accounts > Accounts Reports > Invoiced Sales (Saved Monthly). Select the month you wish to report on and choose between a summary view or a detailed breakdown of each invoice for that month.
