How do I change rent collection dates in agentOS?

Step-by-step instructions for updating rent schedule and collection dates in agentOS, including how to delete and add new schedule lines with proper start and end dates to avoid payment gaps.

This is similar to how you would change a rental amount.

 

The important thing to remember when applying these changes is that any changes need to be set to take effect in the future as the dates need to be passed through to trigger correctly.

 

Example: The rent date is currently the 15th of the month and it's being changed to the 1st, and it's currently the 7th.

 

Steps to Change Rent Collection Dates:

 

1. Navigate to Rent Schedule Section

Go to the "Rent Schedule and Standing Order" section in the left hand ladder on the tenancy, and select "Set up Rent Schedule".

 

2. Delete the Last Schedule Line

You will need to delete the last line on the Rent Schedule.

 

3. Add Two New Schedule Lines

 

First Line (Historic Line):

• Start date: The day after the last schedule line, or left blank for the start of the tenancy

• End date: The day before the new payment date (in this example: 31st May)

• Set the payment collection method, amount, and frequency as per the previous schedule

• Select Add

 

Second Line (New Schedule):

• Start date: The date of the new rent payment (in this example: 1st June)

• End date: Left blank (end of tenancy)

• Set the collection type, rental frequency, and rental amount as required

• Select Add

 

4. Set Up Rent Breakdown

Select "Setup rent breakdown".

 

5. Change Next Collection Date (If Needed)

If this change is going to take place before the next rent call date, you will need to select "Change next collection date" on the rent schedule page, and select the same date as the start date of the second line (1st June from the example).

 

6. Manual Rent Adjustments

Any rent required to move the date can be made due manually on the tenant using their action drop down "make rent due".

 

7. Review Rent Breakdown for Multiple Tenants

If you have multiple tenants at a property without one being defined as a head tenant, you may also need to review the rent breakdown to ensure all parties are paying the correct share.
