How do I bulk upload records into agentOS?
If you have a large number of records to import into agentOS, you can use the Bulk Upload feature found under the Office tab. Upload a CSV file, map your columns to the correct agentOS fields, and import the records in one go.
Rather than adding records one by one, the Bulk Upload feature allows you to import multiple accounts or profiles at the same time using a CSV spreadsheet.
Step 1: Go to Office > Bulk Upload
Navigate to the Office tab in the top menu and select Bulk Upload.
Step 2: Create an upload line
You will need to set up an upload line before you can attach a file. Click Add and fill in the following:
- Branch — select the branch the records should be imported into
- Upload Type — select what type of record you are importing (e.g., Lettings Applicants, Landlords, Sales Applicants/Buyers, Vendors, Contractors, Solicitors, Estate Agents, Property Developers)
- Title — give the upload a name for your reference
Click Add to create the upload line.
Step 3: Upload your CSV file
Click the Actions button next to your upload line and select Upload. The file you upload must be a CSV file. Once uploaded, the Upload State will change to Awaiting Mapping.
Step 4: Map your fields
Click Actions again and select Map Fields. A mapping window will appear showing all available agentOS fields. For each field, select the corresponding column heading from your CSV spreadsheet.
If your spreadsheet contains information that does not map to a specific agentOS field, you can send it to the notes section instead. At the bottom of the mapping window, ensure the Import Non-Mapped Columns into Notes toggle is set to Yes.
Once you have completed the mapping, save your changes. The Upload State will update to Uploaded & Mapped, and you will be able to see a summary of records, including how many are awaiting import and how many fields have been mapped.
The To Do column will guide you through what needs to be actioned next.
Step 5: Import the records
Click Actions and select Import. You will be asked to confirm the number of records you wish to import. The import may take a short time to complete depending on the volume of records.
Step 6: Review results and fix errors
Once the import has finished, the upload page will show whether any records failed. Click the black arrow at the beginning of the upload line to expand the results and see any error details. Errors will indicate the record number and the issue (e.g., "Invalid Value").
Go back to your original CSV file, correct any errors, and re-upload using the same process.
Your To Do list will indicate what needs to be actioned at each stage throughout the process.
Step 7: View imported records
Once all records have imported successfully, you can view what has been imported by clicking on the bulk upload entry and selecting Imported People from the left-hand side.
