How do I book an appointment from a property record in agentOS?

To book an appointment from a property record, open the property page in agentOS, click the Actions button in the top right, and select Book Appointment. You can then select the date, time, appointment type, and assigned staff member.

agentOS allows you to book appointments directly from a property record, which automatically links the appointment to that property in the diary.

Step 1: Open the property record

Use the quick search bar to search for the property by address, then open the relevant record from the results.

Step 2: Book the appointment via Actions

Click the Actions button in the top right-hand corner of the property page. From the dropdown menu, select Book Appointment.

Step 3: Complete the appointment details

The Book Appointment screen will open. Fill in the following:

  • Staff — select the staff member the appointment will be assigned to (use the date navigator to find availability)
  • Date and time slot — double-click the appropriate slot in the calendar on the left to select it
  • Guest — search for the guest by name (e.g., applicant, tenant, or landlord)
  • Property — the property will be pre-populated based on the record you accessed; confirm whether it is a lettings or sales property
  • Reminder — set how far in advance a reminder should be sent
  • Appointment Type — select the type of appointment (e.g., Interim Inspection, Viewing)
  • Extra Comments — add any additional notes as required

Click Book Appointment to save. The appointment will now appear in the diary.

Step 4: Arrange access (if required)

Once the appointment has been saved and opens, you can arrange access for tenants or occupants directly from the appointment record.

  1. In the appointment, locate the Letting Properties or Sales Properties section on the left.
  2. Click the Actions button to the right of the relevant property address.
  3. Select Arrange Access.
  4. In the Arrange Access window, choose the email or SMS address to send from using the Send Email & SMS From dropdown.
  5. Use the Send to field to select the recipient(s) — for example, the letter to the occupier(s), the landlord, or a specific contact.
  6. Click Arrange Access in the bottom right to send.
