How do I assign or reassign an email account to a staff member in agentOS?
To assign or reassign an email account to a different staff member, go to the person icon > Settings > Email Accounts, open the relevant account, and update the Staff field to the required staff member.
If a staff member is temporarily absent, has left the company, or you need to redirect their emails to a colleague, you can reassign an email account from one staff member to another within agentOS.
Step 1: Navigate to Email Accounts
Click the person icon in the top right-hand corner of agentOS and select Settings. From the Settings area, choose Email Accounts.
Step 2: Create the email address (if it does not already exist)
If you need to create a new email address before assigning it, click Add Account in the top right of the Email Accounts screen. Fill in the following fields:
- Name — a display name for the email account
- Mailbox Name — the part of the email address before the @ symbol
- @ Domain — select the relevant domain from the dropdown
Click Add Account to save.
Step 3: Find and open the email account to reassign
Use the search bar within the Email Accounts screen to find the email account you wish to assign or reassign. Click on it to open it.
Step 4: Update the Staff assignment
Click Edit and locate the Staff dropdown. Change this to the staff member you would like to assign the account to, then click Save.
Step 5: Set the correct Staff Default
After reassigning, search within Email Accounts for the staff member you have just assigned the account to. You may see more than one account showing as their Staff Default. To resolve this, click the Actions button next to the account that should be the default and select Make Staff Default.
Going forward, all email to that address will be received into that staff member's inbox. When replying, emails will always be sent from their staff default email address.
