How do I add a sales contact (vendor or buyer enquiry) in agentOS?

Sales contacts — including potential vendors and buyer enquiries — are added via the Contacts section under the Sales menu. Once added, you can convert them into an applicant buyer or a sales appraisal using the Actions menu on their record.

When someone contacts you as a vendor or potential buyer, you can record their details in agentOS as a Contact.

Adding a New Contact

  1. Go to Sales in the top navigation bar
  2. Click on Contacts
  3. Click the Add button in the top right-hand corner
  4. Complete the form with the individual's details, including their name, address, and contact information
  5. If the vendor is contacting you about selling a property, enter the property address in the address field
  6. On the right-hand side, use the Type dropdown to select the type of enquiry — for example, a viewing request or a valuation
  7. Click Save at the bottom to close

The enquiry will open as its own profile. You can add additional enquiry types to the Type dropdown if needed — contact support@agentos.com for assistance with this.

Actions Available from a Contact Record

Once a contact has been saved and opened, click the Actions button in the top right-hand corner to access the following options:

Link to Sales Instruction — Use this to set the enquirer up as the vendor on an existing property record.

Convert to Sales Appraisal — The system will use the saved address to create a Sales Appraisal. You will be prompted to select the service type you will be providing for this vendor. If the vendor has previously been added to the system, you can link them at this stage. Click Convert to Sales Appraisal to proceed.

Convert to Applicant Buyer — Converts the contact into an applicant buyer record.

Archive — Archives the contact record.

GDPR Delete — Permanently deletes the contact's personal data in line with GDPR requirements.
