How do I add a custom subscription package for a client?
Custom subscription packages allow you to apply a fixed subscription price to a client's billing branch for a set period, overriding the default tier pricing. This is managed through the letmcbilling portal.
Note: This article is intended for internal staff use only and is not intended for clients.
A custom subscription package is used when a client needs to be charged a specific amount for a defined period — for example, when locking in a price before moving them to standard tier pricing. Once the custom period ends, you must revert the client to the default subscription package.
Step 1: Access the billing portal
Navigate to https://login.agentos.com/letmcbilling#
Step 2: Locate the client's billing account
Search for the client's billing account and open it, then click Customer Details.
Step 3: Open the billing customer record
Click View Customer to open the billing customer record.
Step 4: Navigate to Billing Branches
Click Billing Branches in the left-hand menu, then click the main billing branch for the client.
Step 5: Open Billing Products
Click Billing Products in the left-hand menu.
Step 6: End the existing subscription product
- In the search field, type sub to filter the billing products
- Locate the current subscription product (e.g. "Subscription Starter Tier @ £110.00/Month")
- Click Edit on that product
- In the Apply To (End) field, enter the date on which the current subscription should stop — this should be the day before the new custom package starts
- Click Save
Step 7: Add the custom subscription package
- Go back to the Billing Branch record
- Click Actions
- Select Add Custom Subscription Package
- Complete the following fields:
- Apply From: The start date for the custom package (the day after you ended the previous product)
- Apply To: The end date for the custom period
- Package Name: Enter the package name (e.g. "Professional")
- Package Amount: Enter the fixed monthly subscription amount to charge during this period
- Click Add Custom Subscription Package to save
Step 8: Reinstate the default subscription package
Once the custom period ends, you must add the default subscription package to resume standard tier pricing:
- From the Billing Branch record, click Actions
- Select Add Subscription Package – Default
- In the Apply From field, enter the date from which the default charge should take effect (the day after the custom period ends)
- Click Add Subscription Package – Default to save
Note: The default subscription package automatically charges the correct amount based on the client's tier (Starter or Professional) and will auto-upgrade the tier if additional users are added. Use this option rather than a manual subscription wherever possible.
Important Notes
- The Apply From date for the custom package must immediately follow the end date of the previous product — do not leave gaps or overlaps in the billing product dates.
- If the custom period has no fixed end date, leave the Apply To field blank.
- Always reinstate the default package after the custom period ends to ensure the client is billed correctly going forward.
