How do GDPR online accounts work in agentOS?

agentOS provides each client with a GDPR online account, allowing them to view their data and manage consent. New clients can be configured to receive an account setup email automatically, and all clients log in via a unique URL specific to your company.

agentOS includes GDPR online account functionality as standard, helping you meet your obligations as a data controller. Each client can be given access to their own secure online account where they can view the data you hold on them and manage their consent preferences.

Your role as data controller

You are the controller of the data held within agentOS. It is your responsibility to ensure you are meeting your obligations under GDPR. agentOS provides the tools to help you do this, but the responsibility for compliance sits with you.

New clients

When a new client is added to the system with an email address, agentOS can automatically send them an account setup email — provided this feature is turned on under Company Settings (it is off by default).

Please note: an automatic email is only sent when the client is first added to the system with an email address. If an email address is added later by editing the record, no automatic email will be sent. In that case, you can send an account setup email manually using the Consent Chase tool in Office.

Client login URL

Once a client has set up their online account (by setting their security questions and password), they can log in via a unique URL specific to your company. The URL follows this format:

https://agent.letmc.com/[yourcompanyshortname]/login

The root domain (agent.letmc.com) is the same address you use to log in to agentOS. The short name after it is unique to your company and is assigned when your company account is created.

Standard and GDPR online accounts

agentOS links Standard online accounts with GDPR online accounts. If you have previously used Standard online accounts, any existing client accounts will have been automatically migrated to GDPR online accounts. Clients can log in using their existing credentials and will also be able to access their GDPR online account with the same login details.

If you have not previously used Standard online accounts, this will not affect you — GDPR online accounts work independently.
