How can I tell if a specific invoice has been processed?
You can check whether a specific invoice has been processed by searching a landlord or contractor's accounts history in agentOS using the View Accounts section, filtering by date range and searching by invoice number, job reference, or amount.
There are a few ways to search a landlord or contractor's account history to check whether a specific invoice has been processed. This is useful if, for example, a contractor is querying whether a particular invoice has been paid.
Option 1: Search on the Contractor record
Open the contractor's record in agentOS and go to View Accounts. Make sure the From and To date range covers the date of the invoice you are looking for.
You can use the search bar within View Accounts to search for anything relevant — invoice number, job reference, property address, keyword from the job description, or the amount.
When the relevant entry appears in the list, you can check the date and confirm whether the funds have been credited to the contractor's account.
If you get no results on the contractor's Main account, change the Account Type to Pending Payments and repeat the search. If a result appears with a credit only in the Pending Payments account, this means the invoice has been processed but the account is awaiting landlord funds.
Option 2: Search on the Landlord record
Use the same process as above on the landlord's record, checking both the LL Main account and (where applicable) the Supplier Pending Payments account.
Note: If the landlord has overseas tax deducted, maintenance payments will flow through the (NRL Inclusive) versions of the Supplier accounts rather than the (NRL Exclusive) versions.
Option 3: Maintenance Deduction Refund (view only — do not process)
You can also view a list of maintenance deductions by going to the landlord record > Actions > Maintenance Deduction Refund. Select a 1–3 year date range to display all deductions for that period.
⚠️ Important: This option is for viewing only. Do not click through to process anything. Once you have found the information you need, use the Close or X button to exit the screen without making any changes.
